Electronic Election and Informed Consent in Forms

Training Video

The Problem: This organization was using print versions of two forms that were essential to the taking care of patients and communicating with care givers. The problem was that nurses and medical workers were having to drive all the way back to the office in order to submit these forms by scanning the forms in the office and then electronically upload the forms to their medical software.

Solution #1: Using the medical platform, a digital form was created. In order for this new process to be implemented, this required extensive training for the staff. So, while we had a solution, we still had an issue with implementing this solution. \

Solution #2: My role was to create a training video that could be referred back to repeatedly. I also took part with another nurse in hosting in-person training sessions to train staff members.

Instruction Design Process: I created a “test” staff member and recorded the steps for accessing the forms in the software as well as what to input and complete on the electronic form. Using these recording clips, I created a robust video that included all of the steps and teaching for how to access and complete both the Election Form and the Informed Consent Form. The screen recordings were completed using a work iPad. This was done so that the process and interface looked exactly as a staff member would expect. I then utilized Camtasia to create the video. Audiate was used to create the voice over.

Project Impact: The in-person training was very beneficial in connecting with learners and providing a hands-on experience. This allowed for questions. The video training was highly beneficial. The feedback we received is that staff members frequently referred back to the training for assistance. A “Tips and Tricks” job aid was created to go along with the video, so staff members reported high satisfaction with their ability to access what they needed and were able to demonstrate the skills needed to utilize the digital forms as opposed to only using print versions.

Follow-up eCourse: The training video was implemented into an eCourse that became required for all staff members. This proved invaluable for onboarding of new staff and updating any skills for current staff.
